Every time Word underlines a clumsy phrase, Excel suggests completing a column automatically, or Outlook offers a quick reply — that's AI at work. Not spectacular, but incredibly useful every day.

Word — Editor
Analyses your writing style, suggests clearer phrasing, detects repetition, and adapts the tone to the document type.

Excel — Analyze Data
Analyses your tables, spots trends, and automatically suggests relevant charts. Access it via the "Analyze Data" button on the Home tab.

Outlook — Suggested replies
Offers short replies tailored to the email you've received. A huge time‑saver for quick exchanges.

Teams — Transcription & summary
Transcribes meetings in real time and generates a summary with key points and decisions.

Rolled out gradually from 2023–2024, Microsoft has integrated Copilot — based on GPT-4 — directly into the 365 suite. Important: it requires a dedicated licence (around €30 per user per month) that must be explicitly assigned by your admin (for business use) or purchased individually. It goes far beyond automatic suggestions.

Gmail, Docs, Sheets, Meet — Google has integrated its Gemini AI across the Workspace suite. The features are similar to Copilot, but with a Google twist.

Gmail — "Help me write"
Describe in a few words what you want to say, and Gemini produces a full email that you can tweak.

Google Docs — "Help me write"
Rephrase, expand, or shorten selected text. It can also generate whole paragraphs from a prompt.

Google Sheets — Formulas in plain language
Describe what you want to calculate in English, and Sheets writes the formula for you.

Copilot and Gemini are cloud tools: what you type is sent to Microsoft's or Google's servers to be processed.

• Personal use — for ordinary documents (shopping lists, drafts), there's no particular risk.
• Sensitive documents — payslips, medical records, contracts, client data: avoid pasting them into an online AI without first checking the rules (whether at your company, in your administration, or just for yourself).
• In a professional context — ask your IT manager or security officer what is allowed. Some data must not leave the organisation.

There are open source tools that do the same as Copilot or Gemini — but without sending your data over the internet. Ideal for privacy‑conscious individuals, professionals in confidential environments, or simply Linux users.

1. In Word : Select a paragraph → right‑click → "Rewrite with Copilot" (or "Editor"). Watch the reformulation suggestions appear.
2. In Outlook or Gmail : Open an email you've received. At the bottom of the reply window, look for short suggested replies.
3. In Excel or Sheets : Click the "Analyze Data" button (Excel) or try describing a formula in plain language in the search bar.
